Medical call-center and reception training

Who the programme supports

Booking agents, reception teams, patient-service staff and quality supervisors. The programme focuses on clear communication, accurate information, reliable handovers and consistent documentation rather than pressure-based selling.

Module 1: a clear booking conversation

Practise an opening, identify the purpose of the enquiry, check practical appointment requirements, explain the next step and confirm the outcome. Staff learn when to refer a clinical question rather than attempt to diagnose or promise a treatment result.

Module 2: follow-up and difficult conversations

Role-play an unanswered enquiry, a requested reschedule and a complaint about unclear information. The exercise defines respectful follow-up, an escalation owner and how to close the record. Contact practices must follow the organization’s approved consent and privacy procedures.

Module 3: coaching and quality review

Supervisors practise using the same scorecard and discuss why a sample receives a particular assessment. Review accuracy, listening, next-step clarity and documentation separately. A longer call is not automatically worse, and a booking is not proof that the information was accurate.

Exercises and take-away materials

A conversation framework, a role-play pack, a quality scorecard and a supervisor follow-up checklist. Training examples are fictional unless the organization provides approved anonymized material. We agree whether training includes a later calibration session or ends at the workshop.

What to include in your request

Your country, team size, channels used, main performance gap and preferred language. If a system or script already exists, describe it without sharing access credentials or patient information. The proposal can then focus on the work the team actually performs.
